Team and access
Invite staff to your firm, understand the partner, manager, and staff roles, and scope which clients each staff member can see.
Your firm has its own staff with firm roles, which are separate from the per-organization roles a client's own team uses. You invite staff, give each a firm role, and decide whether they see the whole portfolio or only the clients you assign.
Firm roles
A firm has three roles, ranked from most to least access.
| Role | Can do | Access when opening a client |
|---|---|---|
| Partner | Everything, including firm settings, staff management, invite policy, billing, and deleting the firm (owner only) | Admin inside every client |
| Manager | Manage clients, edit the firm profile, share connect links | Admin inside every client |
| Staff | Work assigned clients | Member inside assigned clients |
When a staff member is granted access to a client, the firm gives them an ordinary membership inside that client's organization. Partners and managers become an admin there, and staff become a member. That is why the client's own organization roles still describe exactly what each person can do once they are inside.
Invite staff
Open the Team tab
In the firm workspace, open Team, then click to invite a member.
Share the join link
Inbox Ledger creates a join link. Send it to the person you want to add.
They accept
The person opens the link and joins as an accountant. A business account cannot accept a firm join link, because one email is one persona.

Scope who sees which client
Every staff member has an access mode that controls their view of the portfolio.
- All clients is the default. The member sees the entire portfolio, including clients added later.
- Only selected clients restricts a staff member to the clients you assign. Inside selected mode, an empty list means the member sees nothing until you assign a client.
Partners and managers are never scoped. A member ranked manager or above always sees every client, whatever their access mode says. Scoping applies to staff.
Change a member's scope from the Team tab. Narrowing a staff member's list removes their access to the clients you drop, not only their ability to open new ones. When a scoped staff member's connect link brings in a new client, that client is added to their list automatically so they can start work.

Who can invite clients
A separate firm setting, the invite policy, controls who may create and share branded connect links. It is either everyone on the team, or managers and partners only. Only a partner can change it.
