Forwarding addresses

Generate a unique forwarding address to capture invoices without granting full inbox access.

Forwarding addresses

Admin+

A forwarding address is a private inbox that belongs to your organization, in the form {code}@fw.inboxledger.app. Anything sent to it is captured by Inbox Ledger as if it had arrived through a connected inbox. You can keep up to five of these addresses per organization.

Use one when you want to capture a few senders without connecting a whole mailbox:

  • Pull invoices from a personal email without granting OAuth access to the inbox.
  • Forward a client's invoices from your accountant inbox into a shared organization account.
  • Catch vendor portal confirmations such as Amazon Business orders, hosting renewals, and SaaS receipts.

What you'll need

The admin or owner role, and the ability to set up an auto-forward rule in the inbox you want to capture from.

Create an address

Open Sources

In the dashboard sidebar, open Sources and scroll to the Forwarding Addresses section below your connected inboxes.

Generate the address

Click Generate Forwarding Address. Inbox Ledger creates a unique address such as a1b2c3d4@fw.inboxledger.app.

Copy it

Click the copy icon next to the address to put it on your clipboard.

Forward your mail to it

In your email client, create a forwarding rule (a Gmail filter, an Outlook rule, whatever your provider supports) that auto-forwards the invoices you care about to the address.

Forwarding Addresses section on the Sources page
Dashboard then Sources, scrolled to the Forwarding Addresses section. Show the 'Generate Forwarding Address' button and one generated address with its copy and delete icons.

Confirm it worked

Forward a test invoice to the address. Within a minute or two the document appears in your Documents list, extracted and ready to review. If nothing shows up, check that the forwarded email actually carried a PDF attachment.

What happens to forwarded mail

When mail reaches your forwarding address, Inbox Ledger captures every PDF attachment, stores it in your encrypted document storage, and queues it for AI extraction. It is the same pipeline a Gmail, Outlook, or IMAP source uses, but the document arrives the moment the email does, with no 60-minute wait.

If a forwarded email carries no PDF, no document is created and no credit is used.

Forwarded emails skip pre-classification. Every PDF you forward is processed, the same as a manual upload, because forwarding is a deliberate choice. You can disable or delete an address at any time without affecting the documents it already captured.
