Recipients and email content

Once a rule's conditions match, Inbox Ledger sends an email to the recipients you list. The rule's config controls the subject line, whether the document details appear in the body, and whether the original PDF rides along as an attachment.

Recipients

Each rule has a list of recipient email addresses. Enter one or more addresses, and every matching document is emailed to all of them. Each address is validated as a real email format before the rule saves.

Subject template

The subject template builds the subject line for each email by substituting tokens with the document's data. The default template is:

[{document_kind}] {vendor} — {total} {currency}

You can replace it with any text and mix in the tokens you want. The available tokens are:

• {vendor}: the vendor or supplier name.
• {total}: the document total amount.
• {currency}: the currency code, such as USD.
• {date}: the document issue date.
• {document_kind}: the document type, such as invoice or receipt.
• {invoice_number}: the invoice number.
• {receipt_number}: the receipt number.

A token with no value in the document is replaced with an empty string, so the subject stays clean even when a field is missing.

Include details

The include-details toggle controls the email body. When it is on, the body shows a table of the document's key fields: vendor, document type, invoice or receipt number, issue date, total, status, and tags. When it is off, the recipient gets the subject line and, if enabled, the attachment.

Attach PDF

The attach-PDF toggle adds the original document file to the email. When it is on, the recipient can open the source PDF directly from their inbox without signing in to Inbox Ledger.
